Thank you for choosing Upcountry Safaris Uganda. By confirming a safari with us, you acknowledge that you have read, understood, and accepted the terms and conditions outlined below. If you have any questions, feel free to contact us—we’re here to help.

1. BOOKINGS

1.1 All information provided in client itineraries is accurate to the best of our knowledge and based on the most current data available. Upcountry Safaris Uganda cannot be held liable for modifications made by third parties or for typographical errors.

1.2 To reserve flights and gorilla permits, we require the following details: full name as it appears in your passport, nationality, and passport number.

1.3 Clients must inform Upcountry Safaris Uganda of any special requirements prior to confirmation, including medical needs, dietary preferences, or disabilities. We will make every effort to accommodate such requests where possible.

1.4 All safari packages are subject to availability and are only confirmed once we have issued written confirmation. We highly recommend early booking due to limited capacity at many lodges and accommodations.

1.5 Should you wish to amend your booking, we will try our best to accommodate changes. Any adjustments may incur an amendment fee based on actual costs.

1.6 Upcountry Safaris Uganda reserves the right to modify the itinerary, transportation, accommodation, or services due to unforeseen circumstances prior to arrival. Any changes will be communicated promptly.

2. PRICING

2.1 Prices include accommodations, meals (as indicated in the itinerary), park entrance and ranger fees, sightseeing, airport transfers (if applicable), ground transportation, bottled water in the vehicle, and services of an English-speaking driver/guide—unless stated otherwise.

2.2 Prices exclude international and domestic airfare, visas, passport fees, meals not specified in the itinerary, drinks (apart from bottled water in the vehicle), gratuities, laundry, personal expenses, and travel insurance.

2.3 All prices quoted are subject to change without prior notice and are not confirmed until stated in writing.

2.4 We reserve the right to adjust prices due to fluctuations in exchange rates or increased costs. We will endeavor to minimize any such increases.

3. EXECUTION OF THE TOUR

3.1 Wildlife sightings are not guaranteed as animals are in their natural habitats. Always follow the safety instructions given by guides or rangers.

3.2 A gorilla or chimpanzee permit allows tracking but does not guarantee a direct sighting.

3.3 Accommodation is based on double or twin sharing. Single rooms may be available upon request and subject to a supplement charge and availability.

3.4 We reserve the right to substitute accommodations with similar or superior options. Where unavailable, the next best alternative will be suggested, potentially at an additional cost.

3.5 Vehicles used will be based on group size and itinerary. While all vehicles are maintained in roadworthy condition, we accept no liability for delays or disruptions due to poor road conditions or mechanical failure.

3.6 Only Upcountry Safaris Uganda driver-guides are authorized to operate our vehicles. The driver’s decisions regarding routes and logistics are final.

3.7 We reserve the right to alter itineraries or cancel tours in the event of unforeseen circumstances such as weather, road closures, or security issues. Alternatives will be arranged as best as possible.

3.8 We may use subcontractors to deliver part or all services agreed upon.

3.9 We reserve the right to remove any individual from a tour due to behavior that endangers others, the environment, or property. No refunds will be issued under such circumstances.

4. PAYMENT

4.1 A 30% deposit of the total safari cost is required to confirm your booking. Gorilla permits must be paid for in full at the time of reservation.

4.2 The balance must be paid at least 42 days before the safari starts, unless otherwise agreed.

4.3 For bookings made within 42 days of travel, full payment is required at the time of confirmation.

4.4 Failure to make payment as scheduled may result in cancellation of your booking.

4.5 Payment can be made via VISA credit card, bank transfer, or cash. Credit card payments incur a 5% service fee and must be processed at least two months before safari start. We do not accept traveler’s cheques.

4.6 Clients are responsible for all bank or transaction fees.

5. CANCELLATIONS & REFUNDS

5.1 Cancellations must be made in writing and are effective upon receipt.

Cancellation charges (based on the number of days before arrival):

  • 60 days or more: 10%

  • 59–32 days: 25%

  • 31–8 days: 50%

  • 7–3 days: 75%

  • 48 hours or less: 100%

5.2 Gorilla permits and flight tickets are non-refundable.

5.3 No refunds will be issued for unused services, late arrivals, or no-shows.

6. COMPLAINTS

6.1 We strive to exceed your expectations and welcome feedback to enhance our services.

6.2 Any complaints should be reported immediately to our representative and the service provider involved, allowing us to resolve the issue on-site. If unresolved, a written complaint must be submitted within 30 days of tour completion.

6.3 We cannot accept liability for complaints not submitted through the proper channels and timelines.

7. LIABILITY

7.1 While we take utmost care in selecting service providers, Upcountry Safaris Uganda is not liable for errors or omissions made by third parties.

7.2 We are not responsible for personal injury, loss, or damage during the safari.

7.3 Clients are responsible for their personal belongings and valuables throughout the trip.

7.4 We are not liable for delays or cancellations due to force majeure events such as natural disasters, political unrest, flight issues, pandemics, or other unforeseen events beyond our control.

7.5 It is the responsibility of the client and/or travel agent to ensure that all necessary travel documents (visas, permits, health certificates) are in order.

7.6 Clients are responsible for obtaining medical advice and necessary vaccinations before travel.

7.7 We strongly recommend comprehensive travel insurance, including medical evacuation coverage.

7.8 Legal matters shall be governed by the laws of the Republic of Uganda and fall under the jurisdiction of Ugandan courts.
